1. Who We Are
Simpler is a Singapore-registered company providing AI-powered business operations tools.

2. Information We Collect
We collect information you provide directly:
- Account information (email, business name, role)
- Documents and spreadsheets you upload for processing
- Business records you create on the platform (invoices, quotes, expenses, customers, stock, signatures)
- Financial data you submit to the business forecast feature
- AI assistant conversations, preferences, and feedback
- Voice recordings you submit for transcription or synthesis (processed in real-time; not retained beyond the session unless you save the output)
- Images and videos you generate or upload
- Workflow configurations and automation settings
We automatically collect usage data including service interactions, feature usage, credit consumption, and error logs.
3. How We Use Your Information
We use your information to:
- Provide and maintain our services (invoicing, expenses, CRM, stock, documents, images, video, voice, business forecast, AI assistant, workflows)
- Process documents, generate images and videos, and execute workflows on your behalf
- Improve our AI assistant based on your preferences and feedback (scoped to your organisation only; never mixed across organisations)
- Contribute business-relationship signals (company-level, PII-stripped) to the SBIN matching layer (see §5)
- Process payments and maintain billing records
- Communicate service updates and respond to inquiries
4. AI Processing
Simpler uses artificial intelligence to provide its services. This includes:
- AI Assistant: Stores your preferences and conversation history to provide contextual assistance. Learns from your feedback to improve suggestions.
- Document Processing: Uses AI to extract text, translate content, and identify key information from uploaded documents.
- Image and Video Generation: Uses AI models to create content based on your prompts.
AI outputs may not always be accurate. You are responsible for reviewing all AI-generated content before use.
AI Training: Your documents, messages, and content are NOT used to train third-party AI models. We use AI providers (such as Anthropic) to process your requests, but your data is not contributed to their training datasets. Your preferences and feedback within Simpler are used only to personalize your own experience.
5. Simpler Business Intelligence Network (SBIN)
SBIN is the matching layer that turns the work you already do on Simpler into better matches — trusted partners, sharper vendor shortlists, calibrated pricing benchmarks. By creating an account you agree to participate by default. This notice is the disclosure required under the Singapore PDPA (§15A deemed consent by notification).
What we extract (GREEN data only):
- Business entity information: company names, business registration numbers, vendor/customer relationships, industry, country
- All personal information (individual names, personal emails, identification numbers) is stripped before storage and never retained
- Data is aggregated for matching signals; no raw document content is shared with other users
How to opt out: Go to your Profile and turn off the SBIN toggle. We stop ingesting new data immediately; existing extracted entities are frozen and not used in future matching. You can also request deletion of past SBIN contributions by emailing privacy@simpler.asia.
6. Sub-processors
We engage third-party service providers ("Sub-processors") to help deliver our services:
- Cloudflare — Infrastructure, database (D1), object storage (R2), edge AI (Workers AI including Deepgram Nova 3, Aura 2, and other on-network models), bot protection (Turnstile)
- Railway — FFmpeg video export + document intelligence pipelines
- Anthropic (Claude) — AI language processing (reasoning, chat, orchestration)
- FAL.ai — Image and video generation (FLUX, Wan, Kling, background removal)
- ElevenLabs — Voice synthesis (fallback for multilingual; English primarily uses Cloudflare Aura 2)
- Resend — Transactional email delivery (magic links, receipts)
- Airwallex — Payment processing (Singapore-licensed)
Additional third-party integrations (WhatsApp, Google, Microsoft) may be offered in the future; if enabled, their use will be disclosed here and governed by their respective privacy policies.

7. International Data Transfers
Your data may be processed outside Singapore by our service providers. We ensure appropriate safeguards are in place for such transfers.
8. Data Retention
We retain different types of data for different periods:
- Account data: Until you delete your account
- Business records you create (invoices, expenses, customers, stock): Until you delete them or your account
- Documents and spreadsheets you upload: Until you delete them or your account
- AI conversation history and artifacts: Until you delete them or your account
- Business forecast data: Until you delete your account or request purge
- Voice recordings: Not retained — processed in real-time, transcripts returned to you, audio not stored unless you explicitly save a voiceover output
- CRM contacts and interaction history: Until account deletion (or as you configure)
- SBIN business entities: Until you opt out via your Profile SBIN toggle (freeze) or request deletion via privacy@simpler.asia
- Billing records (credit transactions, receipts): 7 years (required by Singapore law)
Upon account deletion, we will delete your personal data within 30 days, except where retention is required by law.
9. Data Security
Your data is stored using Cloudflare's infrastructure with encryption at rest and in transit. We implement industry-standard security measures to protect your information.
10. Your Rights
Under Singapore's Personal Data Protection Act (PDPA), you have the right to:
- Access — request a copy of the personal data we hold about you
- Correction — request correction of inaccurate data
- Withdrawal of consent — for processing that relies on consent (including SBIN via the Profile toggle)
- Portability — export your business records and AI artifacts in a machine-readable format
- Deletion on account closure — personal data is deleted within 30 days of account deletion, subject to legal retention (e.g., 7-year billing records under Singapore law)
Note: the PDPA does not grant an unconditional right to erasure of data held lawfully. We honour deletion requests on account closure and for SBIN contributions; other records may be retained where necessary for service operation, legal compliance, or legitimate business interests.

11. Changes to This Policy
We may update this policy from time to time. We will notify you of material changes by posting the updated policy on this page and updating the "Last updated" date.
12. Business Customers
If you use Simpler to process your own customers' data, please refer to our Data Processing Addendum which is incorporated into the Terms of Service and governs our processing of that data on your behalf.
